Support day-to-day studio operations: coordinate schedules, manage Notion documentation and templates, track deliverables and dashboards, prepare meeting rhythms and status reports, and help onboard hires while keeping cross-functional workflows moving.
The AI Studio at Vocal Media produces AI-generated social video at real scale, across reproductive health, climate, finance, politics, and culture. Behind every account that ships on time is a lot of quiet coordination: schedules, docs, handoffs, and systems that keep a fast-moving creative team in sync. That is where you come in.
We are looking for a Junior Program Manager to keep the AI Studio running day to day. You will work directly with our Program Manager to coordinate schedules, maintain our documentation and workflows in Notion, track deliverables across accounts, and keep the operation organized as we grow. This is a part-time role to start, built for someone early in their career who wants to grow into a full program management seat as the studio scales.
Responsibilities
- Keep production on schedule across multiple AI content accounts, tracking deliverables, deadlines, and handoffs
- Own the weekly rhythm: meeting prep, agendas, notes, and follow-ups, so nothing slips through the cracks
- Spot blockers early and help the team clear them before they turn into fire drills
- Keep projects moving between creative, automations, and client work
- Own and maintain the studio's Notion workspace: hubs, trackers, role docs, and the knowledge base
- Keep processes documented and current so the team always has one source of truth
- Build and refine templates, databases, and views that make the whole team faster
- Maintain trackers and dashboards for content output, account status, and team capacity
- Pull together clean status and performance summaries for leadership
- Keep the hiring, onboarding, and outreach trackers current
- Support onboarding for new hires and contractors: accounts, tools, access, and first-week setup
- Coordinate across creative, automations, and client teams to keep work flowing
- Take on additional project coordination as the studio grows

What We Are Looking For
- Early in your career and genuinely excited about AI, media, and how content gets made at scale
- Highly organized and detail-oriented, and calm when there are a lot of moving parts
- Fluent in Notion, or a fast learner who likes building clean systems
- A strong written communicator who can keep a remote, async team aligned
- Self-motivated and reliable, the person who closes the loop without being asked
- Interest in progressive issues, social justice, or advocacy is a plus
- Exposure to social media, content production, or AI tools is a bonus, not a requirement
- Must be based in the United States
