Overview
OneRail is seeking a temporary IT Project Coordinator to support the enterprise-wide implementation and adoption of ClickUp across the organization. This role will coordinate project activities, facilitate stakeholder engagement, gather requirements, support process documentation, assist with system configuration efforts, and drive user adoption throughout the implementation lifecycle.
The ideal candidate is highly organized, detail-oriented, and experienced in coordinating software implementation projects involving multiple business units and stakeholders.
*This is a 3-month contract position focused on the successful deployment and organizational adoption of ClickUp.
Primary ResponsibilitiesProject Coordination
  • Coordinate implementation activities across business and technical teams.
  • Maintain project schedules, milestones, risks, and action items.
  • Facilitate project meetings and document decisions and next steps.
  • Track project progress and provide status updates to leadership.
  • Assist in identifying and resolving project roadblocks.
Stakeholder Engagement
  • Meet with department leaders to understand current workflows and requirements.
  • Document business processes and implementation needs.
  • Coordinate feedback sessions and working groups.
  • Serve as a liaison between internal teams and ClickUp implementation resources.
ClickUp Implementation Support
  • Assist with workspace structure planning, including Spaces, Folders, Lists, and workflows.
  • Support testing, validation, and rollout activities.
  • Help ensure consistency and standardization across teams where appropriate.
  • Coordinate implementation timelines and department onboarding activities.
Training & Adoption
  • Schedule and coordinate training sessions.
  • Develop user guides, process documentation, and onboarding materials.
  • Assist teams with adoption and change management efforts.
  • Gather feedback and identify opportunities for continuous improvement.
Documentation & Reporting
  • Maintain project documentation and implementation records.
  • Track implementation metrics and adoption progress.
  • Prepare executive-ready status reports and presentations.
  • Support project closeout activities and transition planning.
 Required Qualifications
  • 2+ years of project coordination, project administration, business operations, or implementation support experience.
  • Experience coordinating software, SaaS, or technology implementation projects.
  • Strong meeting facilitation, documentation, and organizational skills.
  • Excellent written and verbal communication abilities.
  • Experience working with multiple stakeholders and business units.
  • Proficiency with project management tools such as ClickUp, Jira, Monday.com, Asana, Smartsheet, or similar platforms.
 Preferred Qualifications
  • Previous ClickUp implementation experience is a plus.
  • Experience supporting PMO, IT, Operations, or Business Transformation initiatives.
  • Familiarity with Agile, Scrum, or project management methodologies.
  • Project+, CAPM, PMP or similar project coordination certification.

Success Metrics
  • Successful onboarding of identified departments into ClickUp.
  • Current project tools (Monday.com, jira, etc. to ClickUp)
  • Completion of stakeholder requirements gathering.
  • Delivery of training and adoption materials.
  • Achievement of implementation milestones and rollout objectives.
  • Accurate project reporting and documentation throughout the engagement.
