JOB SUMMARY: We are seeking a highly organized, detail-oriented, and proactive HR Executive Support Assistant to support the Chief Human Resources Officer (CHRO) and the broader HR leadership team. This role undertakes semi-routine tasks and applies acquired knowledge of company policies to support multiple HR functions. The position handles a range of including monitoring executive calendars, creating expense reports, planning travel, pulling reports, reviewing analytics and documents, and working in collaboration with HR leaders. The role works under established guidelines but requires limited instruction on familiar activities. The HR Executive Assistant contributes to an efficient HR environment by assisting team discussions and ensuring a smooth flow of information.
 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Executive & Administrative Support:

  • Provide day-to-day executive support to the CHRO and additional HR leadership team members (2+), including complex calendar management, meeting preparation, travel coordination, and expense reporting.
  • Coordinate meetings, events, and offsites for the HR leadership team, ensuring agendas, materials, and logistics are handled smoothly.
  • Prepare and facilitate monthly HR All Hands meetings.
  • Draft and edit communications, presentations, and reports on behalf of the CHRO and other leaders.
  • Manage follow-ups and ensure deadlines and action items are tracked and completed.
  • Assist with invoicing and payments for the HR team

HR Operations & Project Support:

  • Support the execution of key HR initiatives, including the Charitable Contributions Board and any additional initiatives directly managed by the CHRO.
  • Maintain HR documentation, processes, and shared drives with accuracy and confidentiality.
  • Assist with creating and updating organizational charts, policy documents, and internal HR content.

Reporting & Data Management:

  • Pull, organize, and analyze HR data from systems such as HRIS or spreadsheets to create recurring and ad hoc reports.
  • Support headcount tracking, workforce metrics, and other HR dashboards used for decision-making.
  • Help identify data trends and insights in support of HR strategy and planning.
GENERAL DUTIES AND RESPONSIBILITIES:

Comply with Cubic’s Quality Management System. Comply with Cubic Occupational Health, Safety and Environment policies and procedures. Comply with Cubic Human Resources Procedures. Comply with security in accordance with established policies and procedures of relevant organizations.

BACKGROUND AND EXPERIENCE:

  • 3-5 years of experience in an Executive Assistant, HR Coordinator, or similar support role.
  • Must be available to work East Coast business hours (ET).
  • Basic knowledge of HR processes and understanding of when to adapt from standard procedures.
  • Highly capable of effective communication in team settings and contribute to group problem-solving.
  • Proficiency in standard office software and basic HRIS platforms.
  • Proficiency in Microsoft Office Suite (especially Excel, PowerPoint, and Outlook); familiarity with HR tools like Workday, SuccessFactors, or ADP a plus.
  • Comfort with reporting and handling HR or business data (Excel formulas, pivot tables, etc.)
  • Ability to handle sensitive information with discretion and adherence to privacy guidelines.
  • Strong written and verbal communication skills.
  • Ability to maintain discretion and handle confidential information.
  • Highly organized, adaptable, and capable of managing multiple priorities.
  • Comfortability working with executives and communicating in a professional manner.

Cubic Pay Range:

$40.00 - $45.00 + benefits.
