Job SummaryWe are looking for a detail-oriented Finance Operations expert to take full ownership of the day-to-day financial health of a scaling agency. You will be the backbone of our back-office operations, ensuring every receipt is captured, every invoice is paid, and our profitability is crystal clear. This is a role for a QuickBooks power user who enjoys the intersection of precision accounting and proactive operations. If you are someone who takes pride in a perfectly reconciled month-end and has the professional persistence to manage accounts receivable effectively, we want to hear from you.
Key Responsibilities- Maintain impeccable records in QuickBooks Online, including receipt management, categorization, and reconciliations.
- Manage full-cycle payroll for Canadian employees and coordinate timely contractor payments.
- Oversee multi-currency accounts and handle complex currency conversions.
- Generate client invoices and lead the Accounts Receivable process with professional, persistent follow-ups on overdue payments.
- Perform monthly ad spend reconciliations and calculate management fee billing.
- Lead the month-end close process and produce comprehensive monthly P&L statements.
- Generate weekly AR reports and track client-specific profitability to support leadership decisions.
Requirements
- Expert-level proficiency with QuickBooks Online.
- Proven experience working within an agency or service-based business model.
- Deep comfort managing multi-currency environments and international transactions.
- Strong professional communication skills with a track record of successfully managing collections and payment chasing.
- Radical attention to detail and a self-starting nature; you meet deadlines without needing reminders.
- Solid understanding of Canadian payroll regulations and tax requirements.
- Experience with advanced financial reporting and data visualization tools.
- Previous experience in a high-growth startup or expansion-stage company.
- Familiarity with specific agency billing software or project management tools.
