This role demands strategic thinking, executive presence, and deep administrative mastery, playing a critical role in team operations and communications.
What You'll Do:• Perform high-volume, complex calendaring and prioritization across multiple senior leaders• Act as a primary liaison between executive leadership and internal/external stakeholders• Plan and execute department and corporate events (onsite and virtual)• Lead end-to-end meeting operations: agenda creation, execution, follow-ups• Manage travel arrangements and prepare comprehensive expense reporting• Collaborate with leadership to create and refine presentations and materials• Assist in developing, implementing, and maintaining administrative processes and procedures to help with team operations and efficiencies• Proactively assist with team engagement and culture initiatives• Lead or assist in strategic, high-impact projects as needed• Capture and drive forward critical meeting actions and initiatives• Maintain discretion and confidentiality in handling sensitive matters• Contribute to a collaborative, team-oriented administrative community• Partner with Talent Acquisition to coordinate onsite interviews, ensuring executive availability and supporting the in-person interview experience at designated hubs.• Serve as a backup onsite host for interviews as needed, helping to ensure a seamless candidate experience in the absence of primary hosts.• Collaborate with Talent Acquisition, HR, and other partners to manage Day One logistics for new leaders within the organization.
What You'll Need:• 7+ years of experience supporting VPs and/or C-level executives, 2+ years supporting a finance organization highly preferred.• Superior organizational and critical thinking skills with high attention to detail• Proven ability to navigate ambiguity, shifting priorities, and confidential information• Expert-level proficiency in Microsoft Office Suite and cloud-based systems• Exceptional interpersonal and executive communication skills• Demonstrated leadership in coordinating across teams and functions• A proactive, solution-oriented mindset with calmness under pressure• Willingness to travel as needed to support executive and departmental initiatives
