About the role:
We are seeking a highly organized and proactive Executive Assistant to support our CEO. In this dynamic, fast-paced role, you will manage executive-level tasks, facilitate communication, and handle critical administrative responsibilities. Your contributions will play a vital role in ensuring the CEO’s efficiency and organizational success.
This is a 4 month contract position starting in mid-January 2026.
The ideal candidate is located in PST.
What you’ll do:
Provide high-level confidential administrative support to the CEO first and foremost, and the Senior Leadership team as required.
Screen, organize, and prioritize the executive’s email inbox, flagging critical communications and ensuring timely follow-up.
Arrange & coordinate meetings/events (Board retreats, management dinners, etc.)
Screen CEO's emails, archive and professionally compose replies/correspondence on behalf of the CEO when required.
Prepares agendas, attends meetings, schedules and takes minutes at internal and external meetings as requested Develops and cultivates collaborative relationships with peers, employees, the Board of Directors, the Executive Leadership Team and external partners
Plan, coordinate, and execute small-scale projects and events, ensuring all logistical and operational elements are handled effectively.
Interacting with high profile Executives from other institutions globally.
Evaluate incoming requests and determine priority levels based on strategic importance.
Liaise with internal staff at all levels on behalf of the CEO when required.
Personal tasks as required.
Who You Are:
5+ years of executive level support, preferably CEO/C-Suite levels.
Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Ability to work in a growing fast-paced entrepreneurial environment.
Strong interpersonal skills and the ability to build relationships with stakeholders including staff, board members and external partners.
Expert level written and verbal communication skills, including the ability to ask clarifying questions and work with senior management, internal and external clients.
Superior customer service and interpersonal skills.
Proactive approaches to problem-solving and decision-making capability.
Ability to manage multiple tasks independently, maintain confidentiality, and adapt to dynamic needs.
