Position Summary:
The Executive Assistant serves a critical role to the business in a high demanding position with extreme confidentiality responsibilities that will be an aid to key company executives Owner/CEO, Co-Owner, and President of Greenworks North America. This role will provide executive clerical support to the three highest positions held within the company.
This role will coordinate and manage executive scheduling, prepare and organize important documents and support board member meetings and the preparation of board materials. This role serves as the eyes and ears of the President connecting organizations, projects, and critical business information. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Management Team, Board of Directors, and leaders that report to the President and CEO. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.
Key Responsibilities:
- Communication: Strong verbal and written communication skills to interact professionally with various stakeholders. This will require the ability to take notes accurately to use in forming emails, letters, and/or messages on behalf of the President and Owners.
- Time management: Exceptional ability to manage multiple tasks and prioritize effectively in a fast-paced environment. Organize and schedule appointments, meetings, keeping leadership on tasks for completion in a timely manner.
- Maintain professional contact lists of importance and ability to reference involvement.
- Produce, create, and distribute correspondence memos, letters, and other forms for the President.
- Event planning: responsible for assisting with or creating special events, event schedules, invitations, décor, etc. ensuring accuracy and professional settings for the most positive outcome.
- Booking travel arrangements: including international flights, hotel stays, vehicle rentals or drivers needed during visit.
- Provide general support to visitors to adjust or improve accommodation when needed.
- Transparency: when requested, provide information by answering questions and requests. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.
- Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software tools.
- Document preparation: prepare reports, presentations, agendas, and correspondence, ensuring all materials are accurate and professionally formatted.
- Comply with budgetary guidelines for special projects, events, or tasks.
- Oversee and coordinate multiple projects.
- Clerical duties such as filing, copying, binding, scanning, note taking, etc.
- Prepare, reconcile, and submit expense reports.
- Confidentiality: Ability to handle sensitive information with discretion and maintain confidentiality at all times.
- Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
- Maintain various records and documents for company executive(s)
- Provide polite and professional communication
- Problem-Solving Abilities: Resourceful and proactive in identifying issues and implementing solutions independently.
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
Experience Required:
- 3-5 years prior experience in supporting a senior executive or team
- Interpersonal skills
- Excellent organizational, planning, and time management skills
- Exceptional writing, editing, and proofreading skills
- Ability to multi-task and prioritize work based on importance and deliverables
- Ability to pay attention to detail, problem-solving skills.
- Excellent written and verbal communication skills.
- Proficient in MS Office Suite (Word, Excel, PowerPoint)
- ADP, SAP, and Salesforce software experience are a plus.
Required Education:
- Bachelor’s degree in business administration or a related field is preferred
