The Executive Assistant will support C-level executives by managing schedules, communications, and meetings, ensuring operational efficiency and confidentiality in a fast-paced environment.
Description
We are looking for a dynamic individual to be the Executive Assistant to the Chief Executive Officer (CEO), Chief Operations Officer (COO), and Chief Revenue Officer (CRO). The candidate will join Tufin at an exciting time and help grow the business by working closely with the executive team. The candidate should possess strong communication skills, thrive in a fast-paced environment, and be highly reliable, accountable, and results-driven. This hybrid role is based out of our US Headquarters in Boston.
Executive Support:
- Provide administrative and managerial support for internal (executives and employees), and external (customers, partners, prospects, investors/bankers/PE firms, etc.) stakeholders on all matters pertaining to the office of the CEO, COO, and CRO.
- Plan, coordinate, and manage extremely active calendars and schedules, arrange meetings, travel, and accommodations – ensure schedules are followed and respected
- Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through to successful completion, often with tight timelines and strict deadlines
- Work closely and effectively with the CEO, COO, and CRO to keep them well informed of upcoming commitments and responsibilities, following up appropriately
- Compose and prepare correspondence that is often highly confidential, and handle sensitive information with discretion
- Assist the Executive team by performing various duties based on the shifting and growing needs of the company, including strategic working sessions, offsites, annual company meeting, Sales Kickoff, volunteer events, etc.
- Work at a fast pace with prompt response time, be available and adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Attend key meetings as required, including preparation of agenda, presentation review, and taking meeting minutes, as needed. Independent follow-up on action items from meetings and follow-through
- Coordination, preparation, and reconciliation of travel and expense reports
- Support In-Office Executive Meetings: Coordinate logistics for in-office meetings involving the CEO, COO, and CRO, including booking meeting rooms, arranging catering or lunch, as needed, and ensuring guests are welcomed and supported
- Review and approve vendor/contractor time and expense, as needed
Requirements
- 5+ years’ experience in an executive administrative role, supporting multiple C-level executives at a time; in the Hi-tech-industry
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Excellent interpersonal, written and verbal communication skills
- Ability to produce accurate, detailed, high-quality work
- Outstanding service orientation and proactive problem-solving skills
- Must be flexible and willing to assist others
- High level of reliability, diligence, professionalism, and discretion
- Highly resourceful team-player with the ability to also be extremely effective independently and be a self-starter
- Emotional maturity
- Forward looking thinker, who actively seeks opportunities and proposes solutions
- Proficient in Microsoft Office (Outlook, Word, PowerPoint, and Excel)
