Stone Press Financial Group is seeking a highly organized, proactive, and polished Office Manager/Executive Assistant to directly support executive leadership in a fast-paced and growing financial services environment. This role is ideal for a professional who thrives in executive-level support, anticipates needs before they arise, and enjoys being a strategic partner to leadership operations.
This is a hybrid position based in our Charlotte office, requiring in-office attendance three days per week with two flexible remote workdays.

Position Overview
The Office Manager/Executive Assistant to the CEO will serve as a key operational and administrative partner to executive leadership, supporting scheduling, communication, meeting preparation, office coordination, leadership initiatives and securities business submission. The ideal candidate demonstrates professionalism, discretion, strong communication skills, and the ability to manage multiple priorities with excellence.
Key Responsibilities
• Manage and maintain executive calendars, appointments, and scheduling priorities
• Coordinate executive meetings, Zoom calls, leadership events, and boardroom logistics
• Complete and submit securities account paperwork for processing via Docupace operations platform
• Prepare meeting materials, presentations, agendas, and follow-up items
• Assist with executive communications and correspondence on behalf of leadership
• Coordinate travel arrangements, itineraries, and executive scheduling needs
• Support office operations, client hospitality, and executive event coordination
• Maintain confidentiality regarding sensitive business and personnel matters
• Serve as a professional point of contact for clients, advisors, vendors, and leadership partners
• Assist with onboarding coordination, operational support, and special projects
• Help maintain organization across executive priorities, internal systems, and administrative processes
Qualifications
• 3+ years of executive assistant or high-level administrative experience preferred
• Experience supporting C-suite or senior leadership strongly preferred
• Strong organizational and time management skills
• Excellent written and verbal communication abilities
• Ability to manage competing priorities in a fast-paced environment
• High level of professionalism, discretion, and confidentiality
• Proficiency in Microsoft Office, Zoom, Calendly, Canva, scheduling platforms, and administrative systems
• Financial services or professional office experience strongly preferred 
• Docupace operations platform experience strongly preferred
• Quickbooks experience strongly preferred
