About the Role:
We are seeking a highly efficient, proactive, and resourceful Executive Assistant to provide direct support to the client. This role is ideal for someone who is fast-moving, straightforward, and committed to getting things done with minimal supervision. This is a unique opportunity to join a growing firm with the potential to learn, grow into an operational leadership role, and eventually manage other administrative staff.
Responsibilities:
- Set appointments, manage calendars and coordinate meetings
- Handle email correspondence and prioritize messages for executives
- Prepare documents, reports, presentations, and spreadsheets
- Organize and maintain digital filing system and databases
- Coordinate travel arrangements, itineraries, and logistics
- Serve as a communication bridge between executives, clients, and internal teams
- Draft and proofread memos, announcements, and internal communications
- Assist with project coordination, tracking action items, and following up on deadlines
- Support general office operations
- Manage confidential information with professionalism and discretion
- Perform additional administrative tasks as needed to support leadership and operations
- List Building; Create and Support with list building/ Lead Generation using LinkedIn and other database platforms.
- Manage and optimize HubSpot automations, including workflows, email campaigns, lead tracking, CRM updates, and contact management
Requirements
Qualifications:
- 1-2+ years of experience in administrative or operations support roles.
- Familiarity with CRM systems (HubSpot)
- Strong attention to detail and ability to manage multiple priorities.
- Excellent written and verbal English communication skills.
- Reliable, responsive, and able to work within U.S. business hours.
