The Coordinator Enterprise Privacy will assist the Enterprise Privacy Director in evaluating, coordinating, and monitoring privacy process improvements and technology advancement of the privacy division through the evaluation of new products and interfaces for improved work systems. Assists Privacy Manager and Enterprise Chief Privacy Officer in privacy projects and functions in the Enterprise Privacy Division in the areas of data protection, privacy projects, investigation and incident management, auditing, testing, implementation and maintenance of auditing software and interfaces. This position also collaborates with all affiliated management staff, other privacy and information security team members, and leadership to assure compliance with federal and state privacy and security regulations including HIPAA, HITECH, and other privacy and security laws, and the organizations privacy and information security policies and procedures.

MINIMUM QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. Associates degree in Health Information Technology program or relevant discipline RHIT or Eligible

EXPERIENCE:

1. Four (4) years of experience working with systems applications including design, testing, and troubleshooting

2. Two (2) years of experience in Health Information Management setting.

3. Two (2) years knowledge and experience in area of privacy, HIPAA, HITECH

PREFERRED QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. Bachelor’s Degree in Information Technology, Health Information Technology or relevant discipline.

2. CHPS (Certified Healthcare Privacy and Security) Credential and /or Registered Health Information Technology (RHIT)

3. Extensive knowledge and experience in HIPAA Privacy regulations.

 

CORE DUTIES AND RESPONSIBILITIES: The statements described here are intended to describe the general nature of work being performed by people assigned to this position.  They are not intended to be constructed as an all-inclusive list of all responsibilities and duties.  Other duties may be assigned.

1. Assists Enterprise Privacy Manager and Enterprise Privacy Director in Capital Budget interface and new software preparation.  Works with vendors, other department directors and IT to identify, and prepare auditing software and interface needs.   

2. Coordinating and maintaining the incident management system, including master data file maintenance, managing user security, monitoring, and triaging new matters, and managing intake and hotline incidents.

3. Documentation and data quality review of privacy and information security investigations and initiatives; coordination, implementation, and general support of training and program effectiveness projects and core team functions, including development and maintenance of web and collaboration sites.

4. Develops, conducts, and coordinates periodic internal and external risk assessments and monitors key elements of the privacy and information security program, including the use of privacy monitoring software applications.  

5. Responsible for managing privacy and information security program projects; coordinating department activities; providing coordination and general support of privacy and information security metrics and reporting, including running, distributing, and creating reports and troubleshooting data anomalies.

6. Assists with identifying, coordinating privacy needs throughout WVUM. Works with Enterprise Privacy Director and Privacy Manager in organizing, monitoring, and reporting of privacy partner and privacy analyst initiatives.   Ability to assist with functions and duties of privacy auditors and privacy partners.

7. Assists departments with data analysis of privacy and security logs, using audit software.

8. Facilitates annual risk assessment using auditing software and coordinates the development of any remediation plans as requested. 

9. Keeps abreast of, directs and aids departments regarding privacy compliance with state and federal regulations and resources. 

10. In collaboration with existing committees and teams, assist in development and implementation of ongoing programs to result in organization-wide awareness and commitment at all management levels for uniformity with regards to privacy.

11. Communicates directly with leadership and Human Resources when necessary.

14. Responsible for privacy educational programs or needs, including onboarding of new facilities, New Employee Orientation (NEO), Education, policies, webpage, affiliate process, ambulatory sites, and process improvement.

15. Provides oversight in establishing high quality expectations and ensuring privacy compliance. Oversees implementation of controls and metrics when applicable.

16. Performs general control reviews for applications, systems, security, and operation audits.

SKILLS AND ABILITIES:

1.  Strong professional interpersonal skills

2. Working Knowledge of HHS, OCR, and TJC regulations – privacy and security laws and regulations.

3. Ability to maintain a high level of confidentiality.

4. Good verbal/written and interpersonal skills; basic mathematical skills.   Good teamwork abilities and participation skills.

5. Proven ability to follow through, meet deadlines, anticipate requirements, and build relationships.

6. Strong analytical, statistical, decision-making, and problem-solving skills.

7. Must be able to work collaboratively as a team environment with minimal supervision.    

8. Excellent written and verbal communication skills with the ability to build effective working relationships with all levels of internal and external constituencies.

9. Advanced level of computer and application competency including Excel, Power Point, Word, and relational database management systems.

10. Strong ability to use reporting tools, tracking systems and databases

11. General knowledge of state and federal laws and regulations that apply to privacy and information security.
