Position Summary
The Embedded Caris Operations Manager (ECOM) is an exempt, strategically focused professional responsible for optimizing end-to-end operational workflows supporting client precision medicine programs. This role serves as a trusted operational partner to providers, pathology teams, and internal stakeholders by ensuring reliable execution, workflow efficiency, and continuous process improvement across diagnostic testing and clinical coordination.
Operating with a high degree of autonomy and independent judgment, the ECOM owns workflow performance beyond transactional case handling, proactively resolving operational barriers and driving measurable improvements in quality, turnaround time, and client experience. This role is critical to enabling scalable, compliant, and high-impact precision oncology programs within embedded client environments.
The ECOM embeds directly within client sites to translate precision medicine strategy into consistent, executable operations. By reducing operational complexity, aligning stakeholders, and ensuring the right test is ordered, processed, and resulted at the appropriate point in the patient journey, the ECOM minimizes variation while maintaining compliance, auditability, and defensibility. Through proactive workflow ownership and continuous improvement, this role differentiates Caris through operational excellence and directly supports improved patient access to timely, high-quality molecular testing.
Key Responsibilities

  • Own and manage the end-to-end lifecycle of assigned cases, ensuring accuracy, completeness, and timely progression from order submission through result delivery.
  • Review, verify, and validate test orders, requisitions, and supporting documentation; proactively identify and resolve discrepancies or missing information.
  • Coordinate with physicians, clinic staff, pathology teams, and internal departments to obtain clarifications and required documentation to maintain workflow continuity.
  • Monitor case status, identify risks or potential delays, and implement corrective actions to protect turnaround time, quality, and case integrity.
  • Serve as a subject matter expert on ordering requirements, workflow standards, and best practices for Caris testing.
  • Submit required reports and documentation accurately and within established timelines.
  • Develop and maintain working knowledge of Caris products, services, molecular profiling solutions, technology platforms, reimbursement processes, and billing workflows.
  • Partner with physicians and clinical staff to support efficient order submission, adherence to testing requirements, and proper documentation.
  • Provide guidance on clinical portals, EMR workflows, and documentation standards.
  • Act as the primary point of contact for order-related questions and operational support.
  • Reinforce best practices that improve documentation completeness, case quality, and turnaround time.
  • Accurately document customer interactions, updates, and value-based activities in CRM systems.
  • Support provider education initiatives aligned with workflow optimization and operational excellence.
  • Coordinate operational logistics, including documentation management, report distribution, and internal handoffs.
  • Triage billing inquiries and coordinate resolution with internal teams as appropriate.
  • Maintain accurate tracking of case activity, workflow performance, and operational metrics.
  • Execute responsibilities in alignment with Caris policies, SOPs, and applicable regulatory requirements.
  • Maintain audit-ready documentation and ensure consistent adherence to compliance, privacy, and quality standards.
  • Identify, mitigate, and escalate compliance or operational risks that may impact turnaround time, case integrity, or client experience.
  • Participate in training, audits, and continuous improvement initiatives.
  • Drive measurable improvements in documentation completeness, turnaround time, and case quality metrics.
  • Identify workflow inefficiencies and recommend process improvements to internal stakeholders.
  • Share operational insights to support performance optimization, scalability, and growth initiatives.
  • Support patient consent processes in accordance with Caris requirements.
  • Assist with obtaining required documentation for protocol-driven or special cases.
  • Support self-pay workflows and internal account tracking tools, as defined.
  • Collaborate cross-functionally with internal teams and client stakeholders on workflow optimization initiatives.
  • Adapt role execution to align with client-specific operational environments within approved scope, compliance, and quality guardrails.

Required Qualifications

  • Bachelor’s degree in life sciences, healthcare administration, or a related field, or equivalent clinical training and experience.
  • Phlebotomy certification and blood draw training (where required by site).
  • 3–5+ years of experience in healthcare operations, diagnostics, or order processing.
  • Demonstrated ability to manage complex workflows independently.
  • Strong understanding of regulatory, compliance, and quality requirements in clinical environments.
  • Valid U.S. driver’s license.
     

Preferred Qualifications

  • RN, LVN, BS, or BA in life sciences.
  • Experience in oncology, molecular diagnostics, precision medicine, or academic medical centers.
  • Experience supporting physicians in diagnostic or oncology settings.
  • Familiarity with EMR systems, clinical portals, and order management platforms.
  • Strong analytical, organizational, and communication skills.
  • Ability to operate effectively in fast-paced, complex clinical environments.

Physical Demands

  • Professional office or clinic-adjacent environment.
  • Regular access to protected health information (PHI) in accordance with privacy standards.
  • Ability to sit or stand for extended periods.
  • Ability to lift routine office materials.

Other

  • Periodic travel required, including potential evenings, weekends, or holidays.
