Job Description:
The DocuSign Platform Administrator plays a pivotal role in managing and optimizing an organization’s use of DocuSign eSignature and Forms. This role will lead our digital form transformation initiatives. Expanding on the strategy and usage of DocuSign and other electronic forms technologies will be responsible in driving the transition from paper-based to fully digital, compliant, and user-friendly forms across the enterprise.
The ideal candidate has a strong background in digital workflow automation, eSignature technologies, and experience working in a regulated environment, preferably in the insurance or financial services industry. This role requires a self-starter who can collaborate across business units, design and manage digital form solutions end-to-end, and ensure seamless integration with core systems.
Responsibilities
- Responsible for platform administration for DocuSign and associated tools, including eForms, PowerForms, CLM, and integrations with enterprise platforms.
- Drives account configurations and governance to support secure and efficient platform usage.
- Sets up and manages users, roles, and permissions to ensure appropriate access controls.
- Establishes and enforces security polices including multi-factor authentication, IP restrictions, and secure delivery methods.
- Configures custom branding and reusable templates to streamline document workflows.
- Ownership of template and form management across departments to ensure consistency and accuracy.
- Builds and maintains reusable templates using conditional logic, required fields, and calculated fields to enhance form functionality and data quality.
- Leverages validation rules to improve the accuracy and integrity of submitted data.
- Utilizes PowerForms to create self-service forms that can be accessed via URL or embedded on website.
- Employs workflow automation to set up intelligent routing rules that align with business processes.
- Uses bulk send features to efficiently distribute documents to multiple recipients while maintaining individual tracking and auditability.
- Provides enterprise-wide standards and guidance for DocuSign eSignature usage and user access needs.
- Leads the design, implementation, and maintenance of digital forms across internal departments (Licensing, Contracting, Commissions, New Business, Disbursements, Policy Change, Claims, HTK).
- Collaborates with business stakeholders to understand business needs resulting in optimized, compliant digital form solutions for new or existing forms.
- Conducts testing in DocuSign ‘sandbox’ environment seeking technical support from external vendors as needed.
- Maintains documentation, including user guides, forms inventories and integration specs.
- Collaborates with IM&T and InfoSec to ensure secure deployment and maintenance of digital solutions.
- Delivers reporting metrics on DocuSign-related initiatives, including status updates for pending, open, completed initiatives when necessary.
- Ensures timely posting and auditing of approved forms and applications (digital and paper) to internal and external platforms.
- Facilitates review and acceptance criteria of electronic signature vendor platforms outside of DocuSign working with Information Security and Information Management & Technology teams.
- Demonstrates courage to challenge the status quo and to make difficult decisions necessary to support the organization’s strategy.
- Ensures best practices and standard operating procedures are documented and followed.
- Performs various other related duties, assignments, special projects and provides coverage for coworkers’ core functions.
Skills & Abilities
- Advanced proficiency in digital form creation tools, web form builders, and user interface best practices with capability to design and build digital forms that enable positive customer experience.
- Experience with linking forms to databases, email systems or workflow platforms.
- Demonstrated ability to effectively partner with Information Management & Technology to understand data collection/structuring, workflows, and API integration needs.
- Collaboration with agile practitioners on prioritization and implementation plans.

Experience
- 5-7 years of relevant experience in digital forms management, workflow automation, or business analysis.
- Deep expertise with DocuSign preferred.
- Proficiency in eSignature, web-form development, administration, and capabilities.
- Strong understanding of form design principles, including UX, accessibility, and data validation.
- Experience leading projects independently with minimal supervision.
- Strong project management, stakeholder engagement and communication skills.
- Experience in insurance, financial services, or other highly regulated industries preferred.
- Knowledge of data privacy, compliance, and electronic signature laws preferred.
Education/Licenses/Professional Designations
- Bachelor’s degree preferred or equivalent work experience.
Base Salary Range - $80,000-$90,000
