Overview
Stelic is seeking a Document Controller to support a large, multi-building data center program in Texas. This remote-first role provides structured document control and information management across design, procurement, construction, commissioning, and turnover phases. You will ensure project documentation remains current, traceable, and consistently organized, supporting field execution, technical review workflows, and final project closeout. This position will be 90% remote with 10% travel to the project site in Texas.
Key Responsibilities
• Implement and maintain document control standards, folder structures, master registers, and role-based access controls aligned with delivery phases.
• Administer document management platforms, manage user permissions and workflows, and provide process-related user support.
• Receive, quality check, log, publish, and maintain controlled documents with accurate metadata, revision status, and archiving of superseded versions.
• Manage and track submittals and RFIs, including completeness checks, routing, aging reports, and publication of approved documents.
• Maintain current drawing sets, revision history, transmittals, and ensure field teams reference controlled documents.
• Maintain change document registers and support assembly of traceable change packages tied to initiating events and approvals.
• Publish meeting minutes and maintain action and decision logs linked to project documentation.
• Establish and manage turnover documentation, including O&Ms, warranties, as-builts, test reports, structured closeout packages, and required status reporting (master register, submittal/RFI logs, drawing register, change register, turnover tracker, and SOP/MOP support as requested).
• Provide technical writing and SOP support, including formatting, revision control, controlled re-issuance, and publication within the document system.
• Perform quality control checks and periodic audits to ensure document accuracy, completeness, and compliance with project standards.
Requirements
• 3+ years of document control experience on large civil infrastructure, water, wastewater, industrial, or commercial construction projects.
• Experience administering document management systems (e.g., Procore, Aconex, SharePoint, BIM 360, or similar platforms).
• Strong understanding of document lifecycle management, revision control, and structured workflow processes.
• Experience managing submittals, RFIs, drawing revisions, and turnover documentation.
• Strong organizational skills with high attention to detail and accuracy.
• Ability to coordinate across engineering, procurement, construction, commissioning, and field teams.
• Proficiency in Microsoft Office and document tracking tools (Excel required).
• Associate’s or Bachelor’s degree in construction management, engineering, information management, technical writing, or related field preferred.
