THE ROLE

As Resource Manager (RM), you have the opportunity to create and upgrade the systems and process for resource planning, scheduling and allocation for projects across all departments. The RM receives resource requests from the New Business and Business Partnership  teams and partners with department leaders to assign the right resource team based on project/client needs. The RM has a constant connection with Business Partnerships and Integrated Production teams to forecast staffing needs, stay aware of priorities and understand on-going project changes, while having a pulse on resource teams capacity and bandwidth. A successful RM will have a deep understanding of our cross-functional teams and talents, along with deep understanding of what it takes to get our projects done. 

The RM will report to the Head of Delivery and collaborate to continuously optimize process and technology for resourcing to increase efficiency and profitability for the company. The Head of Delivery values a continuous learning mindset, so the right RM candidate will be unafraid of coming up with new ideas and out of the box thinking for processes and tools.

RESPONSIBILITIES

  • Own and lead all resourcing across the agency, full-time, freelance and external partners.
  • Assist with new business staff plans & scoping needs.
  • Manage and upgrade our processes and systems to plan for project staffing and scheduling across agency work streams for strategy, creative, client service, integrated production, influencer, and new business.
  • Maintain and grow overall understanding of cross-functional teams, key players, and workflow to manage resources effectively, ensuring strong team chemistry and creative output.
  • Work with Business Partnerships and Integrated Production teams to understand resource needs for upcoming and active projects, including prioritizations and hot deadlines.
  • Proactively identify resourcing risks, gaps, and opportunities before they impact delivery.
  • Work with Business Partnerships and Integrated Production teams for project scope changes (timing, deliverables) that impact resource allocations so deadlines are consistently met and prioritized as needed.
  • Maintain and manage resource planning tool with constant updates to assignments, scheduling, major milestones, estimated start/end dates. 
  • Work closely with the Director of Finance on initial scoping throughout the business, working with team leaders and department leads to ensure team chemistry, realistic output and profitability. 
  • Monitor utilization, burn, and margin across accounts; recommend adjustments to protect profitability without compromising quality.
  • Build and refine resourcing models that support both fixed and fluid social content demands.
  • Maintain hours tracking tool to ensure team members are inputting time each week.
  • Manage tools for team leaders to monitor their team members’ projects and scheduling. 
  • Track utilization and capacity to maximize utilization and billability on client projects.
  • Ongoing understanding of resource team specialities; talents; knowledge of clients, brands, project types.
  • Escalate capacity concerns and talent gaps to team leaders to assess if we need new hires or additional freelance resources.
  • Onboard resources into time tracking tools.
  • Review and approve freelance/contractor timesheets. 
  • Identify operational gaps and propose solutions in collaboration with Head of Delivery.

QUALIFICATIONS

  • 10+ years experience at a creative agency that includes resource management for account services, new business, strategy, creative, and production teams
  • Ability to build, maintain and forecast resource plans of varying complexities and scales
  • Expertise with Google Workspace and resource management tool such as Forecast, monday.com, or Smartsheet
  • Experience with social media marketing and platforms is a plus.
  • Enjoys working in highly-unstructured environments and creating order in chaos
  • Stellar communication skills and ability to “speak the language” of each department
  • Keen eye for detail with the foresight to think about the bigger picture
  • Super organized, able to manage a ton of things simultaneously

BASE SALARY RANGE

Our estimated range for this role is based on $110,000-120,000 annual salary* 

*Don’t let this range drive your decision to apply. Actual compensation packages are based on the level of skill and experience each candidate brings to their role. Similarly, there might also be a more senior or junior position available, that would be a better fit with your expertise. For example, a person may apply for a Senior Creative Producer role, and we may assess that their skills are at the Creative Producer level. Each level has its own compensation range.
