Job Summary

Introba is a global consulting firm seeking a professional, energetic front desk coordinator to join our Saint Louis team Monday through Friday, 8 a.m. to 5 p.m., serving as the first point of contact for employees & guests. Key roles include providing a clean & welcoming office environment, administrative support to all team members as necessary, answer & direct incoming callers or inquiries, coordinate & manage vendor lunch & learns, and process incoming and outgoing mail with discretion. Your strong communication and organizational skills will contribute to Introba’s continued success, creating a welcoming and efficient environment for staff, clients, or guests.

Responsibilities & Qualifications

Responsibilities:
  • Anchored employee; In office Monday-Friday, 8a-5p, opening the office daily.

  • Welcoming guests as they arrive, providing them with accurate information and direction.

  • Handling incoming calls, taking messages, and directing calls to the appropriate staff member or department.

  • Sorting incoming mail, packages, and deliveries and distributing them to the appropriate recipients. Process national & international outgoing mail, including UPS & Fed Ex Shipments along with local courier services.

  • Assist with reserving conference rooms, hotels and vehicle reservations.

  • Maintaining the reception area and conference rooms, keeping the area clean, organized, and presentable for guests.

  • Collaborate with IT to maintain continuous operations of the AV systems within each conference room.

  • Provide occasional tours of the office to assist with new hire onboarding.

  • Order office, kitchen and cleaning supplies.

  • Order supplies for assisting with office event planning and execution, employee engagement planning & special events coordination; sending notifications/invites, set up, hosting, and break down/clean up. This includes decorating for company recognized holidays.

  • Create and maintain office announcements (birthdays, events, etc.) to be broadcast on screens around the office.

  • Recognition of Saint Louis office birthdays and work anniversaries.

Qualifications:
  • High School Diploma, or equivalence

  • 5+ years of relevant experience

  • Proficient in using MS Office, including Excel & Teams, along with other software and online tools.

  • Effective verbal and written communication skills.

  • Exceptional Customer Service and positive attitude.

  • Capable of lifting up to 25lbs.

  • Strong morals & ethics leading to discretion with private communications.
