The Operations & Events Coordinator plays a critical role in enabling the Enterprise Innovation organization by orchestrating and helping design a diverse portfolio of strategic events, programs, and operating rhythms. This role ensures seamless execution and high-quality experiences across virtual, in-person, and hybrid formats, while also supporting broader operational excellence for the team. The position reports to the Operations Manager, Enterprise Innovation, and partners closely with program leads, marketing, and business stakeholders.
CORE RESPONSIBILITIES:

  • Partner with program leads to design and deliver conferences, customer workshops, discovery sessions, ideation sessions, and signature Enterprise Innovation and Xylem Innovation Labs events.
  • Own planning and execution of multiple events and programs simultaneously, balancing timelines, logistics, stakeholder communications, and resources.
  • Manage end-to-end event logistics including venue selection, virtual platforms, catering, travel, procurement, contracting, and budgeting.
  • Develop and manage run-of-show, speaker coordination, and post-event retros to drive continuous improvement.
  • Support content development and session design in partnership with subject matter experts to ensure alignment with strategic goals.
  • Create or coordinate development of engaging marketing and communications materials in collaboration with Marketing, ensuring brand consistency and clear messaging.
  • Build strong relationships with internal partners and external vendors to enable repeatable, high-quality execution.
  • Provide operational and administrative support across the team, including documentation, reporting, meeting logistics, scheduling, and coordination of travel and calendars.
  • Identify opportunities to standardize and improve event and program operations through templates, playbooks, and tools.

QUALIFICATIONS:

  • 5–10 years of experience in event management, program operations, marketing operations, or related roles within corporate, innovation, technology, or agency environments.
  • Demonstrated success managing complex, multi-stakeholder events and programs across virtual and in-person formats.
  • Exceptionally organized with meticulous attention to detail and strong follow-through.
  • Strong written and verbal communication skills.
  • Comfortable operating with a high degree of autonomy in a fast-moving environment.
  • Proactive, adaptable, and solutions-oriented.

The estimated salary range for this position is $75,000 to $100,000 plus bonus. Starting pay is dependent on multiple factors, such as skills, experience, and work location, and is not typically at the top of the range.
