Position Title: Compliance Lead

Position Location: Remote – Work from Anywhere in the United States


JOB SUMMARY

The Standards & Compliance Lead is responsible for owning, maintaining, and governing the Project Delivery System (PDS), the single source of truth for how Smart Tech delivers projects. The PDS defines the company’s standards, workflows, tools, templates, and examples of what “good” looks like across all project delivery disciplines.


Operating within the Business Management Office (BMO), this role ensures that Smart Tech’s delivery standards remain clear, accessible, current, and consistently applied across all departments including Building Automation, Critical Infrastructure, Design & Consulting, Service, and Special Projects.


The Standards & Compliance Lead works closely with the QA Manager, discipline experts, and delivery leadership to capture lessons learned, perform root cause analysis, and continuously improve the Project Delivery System. This role translates operational learning into updated standards, tools, and process guidance that improve delivery consistency and reduce execution risk.


This role also partners with the Training & Onboarding team within BMO to ensure the organization is properly trained on the Project Delivery System and that updated standards are consistently communicated across teams.


Additionally, the Standards & Compliance Lead oversees process compliance monitoring, ensuring project teams are following the defined delivery processes by tracking checkpoint completion, analyzing compliance metrics, and providing visibility into adherence to the Project Delivery System.


Ultimately, this role ensures that Smart Tech’s standards are clearly defined, continuously improved, and consistently executed across the organization, enabling predictable and scalable project delivery.


ESSENTIAL FUNCTIONS

Project Delivery System Ownership (25%)

  • Own and maintain the Project Delivery System (PDS) as the company’s single source of truth for delivery standards
  • Ensure the PDS clearly defines what good project delivery looks like across the organization
  • Maintain standards, workflows, templates, tools, and guidance within the PDS
  • Ensure standards are organized in a clear, structured, and accessible format
  • Maintain examples, reference materials, and “go-by” documentation supporting project teams
  • Ensure PDS standards reflect the operational realities of complex BAS, mission-critical, and data center project environments


Lessons Learned & Continuous Improvement (20%)

  • Support Lessons Learned workshops and project post-mortems
  • Partner with the QA Manager and delivery teams to identify recurring quality issues and systemic execution gaps
  • Perform root cause analysis on delivery failures, defects, or process breakdowns
  • Identify opportunities to improve standards, workflows, or delivery processes
  • Convert lessons learned into updated PDS standards and process improvements
  • Track improvement initiatives and ensure changes are implemented into the PDS
  • Close the continuous improvement loop between project execution and company standards


Compliance Monitoring & Process Governance (35%)

  • Own the governance model for how the Project Delivery System is enforced across the organization
  • Define what compliance means at each phase gate, role, and discipline
  • Establish expectations for process adherence, documentation, and execution standards
  • Partner with QA Manager and delivery leadership to ensure alignment between quality enforcement and process compliance
  • Identify and address systemic breakdowns in execution, not just isolated non-compliance
  • Drive accountability for adherence to PDS standards across departments and project teams
  • Define escalation paths and enforcement mechanisms for non-compliance


Metrics, Reporting & Performance Visibility (15%)

  • Define the measurement framework for Project Delivery System adoption and compliance
  • Establish KPIs and leading indicators that reflect operational discipline and delivery quality
  • Design and implement scalable reporting structures and dashboards
  • Define how checkpoint completion, workflow adoption, and tool usage are measured and tracked
  • Build or enable automated data capture and reporting mechanisms
  • Analyze compliance and performance data to identify systemic risks, trends, and improvement opportunities
  • Provide executive-level visibility into operational maturity and adherence to delivery standards
  • Enable data-driven decision making across BMO and delivery leadership


Training Alignment & Organizational Enablement (5%)

  • Partner with the Training & Onboarding team within the BMO
  • Ensure training materials accurately reflect current PDS standards
  • Provide updated standards and process documentation to training teams
  • Support development of training content tied to delivery standards
  • Ensure updated processes and standards are communicated effectively across the organization
  • Reinforce adoption of PDS standards through collaboration with training programs


Completion of Assigned Tasks and Deliverables on Time and on Budget Performs

POSITION REQUIREMENTS (ADVANCED LEVEL FOR ALL OF THE FOLLOWING)

  • Knowledge of complex project delivery environments, including building automation, mission-critical infrastructure, and data centers.
  • Knowledge of project delivery lifecycles, phase gates, and cross-disciplinary workflows (engineering, commissioning, field execution).
  • Knowledge of process governance, quality management systems, and operational excellence practices.
  • Knowledge of documentation standards, knowledge management systems, and structured process design.
  • Knowledge of compliance monitoring, audit practices, and enforcement mechanisms within project environments.
  • Skill in translating project execution experience into structured standards, workflows, templates, and guidance.
  • Skill in root cause analysis and identifying systemic process and execution issues.
  • Skill in designing and implementing governance models and compliance frameworks.
  • Skill in data analysis, KPI development, and building reporting dashboards for performance tracking.
  • Skill in facilitating collaboration across technical teams and stakeholders.
  • Skill in clear communication of complex processes to both technical and non-technical audiences.
  • Ability to own and govern a company-wide Project Delivery System (PDS) as a scalable “single source of truth.
  • Ability to drive adoption and accountability for standardized processes across multiple departments.
  • Ability to convert lessons learned into actionable process improvements and updated standards.
  • Ability to manage multiple priorities and initiatives in a fast-paced, project-driven environment.
  • Ability to influence cross-functional teams and leadership without direct authority.
  • Ability to build scalable systems for compliance tracking, reporting, and continuous improvement.

TRAVEL / RELOCATION REQUIREMENTS

  • Up to 10%, this may include travel to any or all 50 US states.
  • Must be located near a major US airport.

  • Travel may involve transportation by car or plane depending on the destination and nature of the business need.

EDUCATION / EXPERIENCE REQUIREMENTS

  • Bachelor’s degree in Engineering, Construction Management, Business, or related field

OR

  • 7+ years of experience in project delivery, operations, process improvement, or quality systems
  • Experience working in project-driven environments such as construction, engineering, or technical services
  • Experience developing or documenting operational processes, standards, or workflows
  • Experience facilitating cross-functional collaboration with technical teams

Preferred

  • Experience in building automation, critical infrastructure, or mission-critical environments
  • Experience with operational excellence, PMO/BMO environments, or process governance
  • Experience developing operational documentation or knowledge systems
  • Experience developing operational metrics or reporting dashboards
