About the role:

We’re looking for a Provider Operations Coordinator to join our team. Reporting to the Manager of Compliance and Onboarding and working closely with Service Operations, you’ll play a key role in supporting our mission to deliver teletherapy solutions for children with diverse needs. This role is perfect for someone who is a natural at helping others navigate complex processes and wants to combine their administrative talents with a deep desire to make a difference, and offers the opportunity to gain hands-on experience in regulatory compliance, fostering supportive relationships service operations   – all while contributing to a mission-driven organization that helps children with special needs. 

To stay connected, all employees commit to being available on-camera during our Core Working Hours (Monday - Friday, 12 - 5 p.m. ET) with standard business hours of 9 a.m. - 6 p.m. in your local time zone. For this role, up to 10% travel may be required to help you connect in-person in a meaningful way. 

What will you do at Presence:

A Provider Operations Coordinator plays a pivotal role in connecting our growing provider network to students in need of life changing services.  You will actively support and guide Providers with completing compliance requirements for states and organizations where they will be delivering services.  Additionally, you will also be responsible for maintaining and updating our internal systems to ensure compliance at the federal, state and district levels.


Primary Responsibilities:

  • Deliver an excellent Provider experience by supporting Providers through various school district level compliance processes
  • Participate in the research projects for compliance requirements
  • Create resources to aid Providers in completing compliance requirements
  • Serve as the point of contact for compliance inquiries
  • Oversee internal and external control systems to ensure compliance with federal, state and organizational requirements for teletherapy services
  • Responsible for accurate and up to date documentation of all Provider interactions in relevant systems
  • Monitor RSM for K12 Compliance and update provider records in timely manner
  • Provide cross-functional support to teams including but not limited to Clinical Operations, Finance, and Business Operations as needed

What we are looking for:

  • 3+ years of sales, customer service, or account management experience, ideally in the technology or education space
  • Background working in schools preferred
  • Prior experience using Salesforce or another CRM solution
  • Experience working with complex systems and processes
  • Exceptional written and verbal communication skills demonstrated through email, video and audio calls, and internal meetings
  • Strong organizational skills
  • Strong problem-solving skills
  • Good judgment about escalating provider issues and involving internal groups to meet their needs

An employee’s starting pay will be determined based on job-related skills, experience, qualifications, and market conditions. We aim to pay competitively for our size and industry. 


The hourly pay range for this role is $24.00 - $26.00 per hour.
