Role Overview

We are seeking a highly organized, proactive, and client-obsessed Client Coordinator to support client delivery across our growing portfolio of B2B accounts. This role is essential for ensuring flawless execution, seamless communication, and exceptional client experiences.

You’ll collaborate closely with account leadership and cross-functional teams, including content, PR, social, strategy, and operations to keep projects moving, anticipate needs, and uphold Zen Media’s standard of excellence. This is an ideal role for someone who thrives in fast-paced agency environments and takes ownership of delivering an elite client experience.

Key Responsibilities

  • Serve as a primary client liaison, ensuring timely communication, responsiveness, and exceptional service.
  • Coordinate all recurring client deliverables (content, reports, campaign updates, media activity, analytics summaries, etc.).
  • Support the creation, execution, and management of project plans, timelines, and action items.
  • Ensure internal teams have clear expectations, deadlines, assets, and direction to deliver work on-time and on-strategy.
  • Prepare client-facing materials, including status updates, insights, meeting recaps, agendas, and documentation.
  • Monitor project progress, proactively identify risks, and support issue resolution to maintain smooth delivery.
  • Maintain organized, up-to-date workflow documentation in project management systems.
  • Support onboarding of new clients to ensure a smooth, professional, and confidence-building experience.
  • Build positive, trust-based relationships with clients and internal teams to support satisfaction and long-term retention.
  • Contribute to continuous improvements in communication processes, project workflow, and operational efficiency.

Qualifications

  • 2–3 years of experience in client coordination, customer success, project coordination, or agency environment (PR, marketing, digital, or creative preferred).
  • Exceptional written and verbal communication skills with a polished, professional client presence.
  • Excellent organizational and time management skills; able to manage multiple projects simultaneously with attention to detail.
  • Demonstrated ability to collaborate cross-functionally and keep teams aligned around deadlines and deliverables.
  • Comfortable working in a fast-paced, results-driven environment.
  • Experience with project management or CRM tools (ClickUp, Monday.com, HubSpot, or similar).
  • Passion for B2B marketing, PR, digital strategy, or content marketing is highly valued.


It’s a plus if you have:

  • Experience supporting enterprise, SaaS, professional services, or manufacturing clients.
  • Familiarity with PR-driven marketing, earned media, and social amplification strategies.
  • Experience supporting or scaling operations in a digital or PR agency environment.
  • Advanced working knowledge of PM tools, CRMs, dashboards, or automation systems.
