Job Description

The Business Support Executive plays a key role in supporting the Singapore office across finance, compliance, bid management, and administrative functions. This position ensures smooth day-to-day business operations by coordinating with internal and external stakeholders, maintaining accurate records, and supporting business processes to meet operational and compliance requirements.

Finance Support

  • Coordinate monthly forecast updates with relevant stakeholders and ensure invoices are processed before month-end closing.
  • Create and maintain projects in Dynamics 365 as required.
  • Support Work-In-Progress (WIP) management and reporting activities.
  • Maintain databases for client registrations and credit note processing.
  • Serve as the main contact for Accounts Receivable and Accounts Payable matters, including debt collection follow-ups.
  • Monitor and follow up on timesheet submissions to ensure full compliance. 

Risk and Compliance Management

  • Support commission management (CDA) processes.
  • Maintain contract databases to ensure completeness and compliance.
  • Monitor and follow up on client care compliance requirements.
  • Track completion of mandatory e-learning modules across the Singapore business.
  • Manage databases related to client onboarding activities.
  • Validate external subcontractor payments and monitor utilization and timesheet compliance.
  • Support risk management processes from initiation through completion. 

Business Development and Bid Support

  • Provide support for business-as-usual bids and fee extension activities.
  • Assist in preparing proposals and submission documents.
  • Update and maintain employee CVs and project case studies within internal databases.
  • Coordinate vendor registrations and new client code setups.
  • Maintain confidentiality agreements, proposal registers, and business registration records.
  • Manage company registration and renewal requirements. 

Administrative Support

  • Organize and coordinate operations meetings, including preparing presentation materials, taking meeting minutes, and tracking action items.
  • Support the PM Cost Centre Lead with expense claims and timesheet administration.
  • Provide backup reception coverage and coordinate travel arrangements when required.
  • Deliver general administrative and ad hoc support to business leaders and team members.
  • Undertake additional duties as needed to support business operation

Qualifications

  • Bachelor's degree in Marketing, Business Administration, or a related discipline, with 3 to 5 years of experience in a business support role within professional services or a similar industry.
  • Advanced proficiency in Microsoft Office applications, strong communication and coordination skills, attention to detail, and the ability to manage multiple priorities are essential.
  • The successful candidate will be a proactive team player with a strong willingness to learn, adapt to change, and contribute to the success of the business.
