Position Associate, Data Reporting
Reports to: Manager, Data Reporting
Work Modality: Remote
POSITION SUMMARY
The Associate, Data Reporting will work closely with the Manager, Data Reporting to deliver against all data reporting and documentation requirements for Per Scholas government contracts across all markets, including tracking deadlines, gathering documentation, liaising with local staff to review and ensure compliance, supporting program audits, and completing key data entry activities for federal and local government reporting purposes. This role will provide much-needed capacity to meet data reporting requirements and ensure compliance for existing, new, and future government contracts.
KEY RESPONSIBILITIES
- Support tracking and reporting on performance and demographic program data as required by government contracts across all Per Scholas sites, working directly with program staff to meet reporting requirements
- Manage data entry and reporting across various agency portals, contracts, and timelines
- Allocate learners to contracts appropriately and consistently, including tracking eligibility, managing reverse referrals, updating Salesforce records, and pulling data for monthly reports
- Support the delivery of all data reporting requirements during the first week of the month, as needed to support the billing process
- Help the Senior Director, National Contracts, and the Manager of Data Reporting to manage relationships with government funders, participate in trainings, capture and organize contract documentation in Google Drive, and other related organizational and planning support as assigned
- Additional reporting duties required by new contracts
- Provide a strong customer service approach in working with and providing support to all program sites and external partners
- Assume responsibility for data quality as reported to funders, including that tracked in Salesforce, reporting to funders in portals, completing reports and documents in Excel and Word, and generally supporting a culture of data quality assurance and precision across all government reporting activities
- Coordinate proactively with local sites and national admissions to support compliance with all program, data, and documentation requirements of government contracts
- Support with staff trainings and office hours to provide continuous coaching and support on government contracts and performance
Qualifications
- Strong data management skills, including compiling and submitting program data, tracking performance against contract goals, and allocating enrollees to active contracts
- Must have excellent communication skills and the ability to build and maintain strong relationships and lines of communication with external stakeholders, including program officers and compliance officers
- Ability to build and maintain effective working relationships and lines of communication and collaboration with peers across training sites, members of the fiscal team, and across the national training team
- Responsiveness to deadlines and time-sensitive work
- Commitment to data integrity, accuracy, and privacy across all reporting activities, databases, and documentation processes
- Ability to handle confidential student data containing PII with strict adherence to Per Scholas’ PII policy, and promote a culture and day-to-day practices of the same across all sites
- Ability to provide strong customer service to internal and external stakeholders
Education, Experience, Knowledge & Skills
- Interest in and a passion for Per Scholas’ mission
- 1-2 years of experience working with data, databases, and reporting
- Experience working with government data and systems preferred, but not required
- High degree of aptitude and competency for datasets, data entry, completing forms, and working with and troubleshooting online portals
- Resourcefulness in finding ways to meet requirements, capture and report data, and support colleagues
- Interest in getting into the details, specifically in navigating and learning about new systems and databases
- Excited by taking a highly organized approach to projects and assignments
- High degree of responsibility and persistence for a body of work that may feel auxiliary to our training operations
- Enthusiasm to build relationships with and support Per Scholas colleagues
For this role specifically, we are targeting a salary range of $45,000 and $50,000 where the difference in salary is typically determined by several factors, including the geography in which the selected candidate resides, and alignment with qualifications and experience.
