Job Description SummaryCross functional position with emphasis on high level customer service in a large corporate environment for a global client. Communication, troubleshooting skills, professionalism, and ability to adapt to change are essential. Position will require frequent interaction and collaboration with executive administrative assistants.
Sort by station and deliver all incoming and outgoing mail, faxes, and copy projects. Receive and deliver all incoming packages (i.e. FedEx, UPS, Airborne, USPS, etc) using firm’s scanning and delivery software. Basic understanding of billing/invoicing. Back up to client’s receptionist as needed. Must adhere to all client COVID-19 related protocols. Proper procedures will be set and updated, when necessary, and adhered to at all time.Job Description
ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:
• Assist site manager managing team schedules/duties.
• Assist client with maintaining client specific facility management procedures.
• Process all incoming mail and overnight packages.
• Maintain ownership of training employees on mail delivery software
• Process all outgoing and interoffice mail.
• Meter all outgoing USPS mail.
• Assist in shipping of international packages with client
Aid local facilities coordinator with prompt reporting of maintenance, repair and service needs
• Assist client with food set up and prep for meetings as requested.
• Help keep inventory of all supplies in mail areas. This includes UPS shipping supplies, boxes, etc.
• Assist and notify end users of mail and shipping procedures).
• Support confidential document shredding services.
• Cover reception desk, tasks and answering phones during breaks, PTO, and unexpected absences
• Order office supplies (general supplies, paper, toner, etc.).
• Order printed materials (business cards, letterhead, envelopes, etc.).
• Maintain pantry areas and order pantry supplies.
• Must assist in providing services in all service lines in addition to primary role.
• Must maintain positive customer relations
• All duties as assigned.
JOB REQUIREMENTS & QUALIFICATIONS:
• Able to lift 25-50 lbs.
• Valid driver’s license
• High school diploma or equivalent (GED)
• Copier/fax/FedEx/postage machine knowledge
• Basic computer skills
• Utilization of various software systems to manage service requests, seating assignments, and mail delivery software.
