PingWind is seeking a qualified Administrative Coordinator – Operations to support the Department of Veterans Affairs (VA). The successful candidate plays a vital role in supporting operational excellence and scalability initiatives. This position is responsible for providing high-level administrative support, ensuring efficient operation of daily activities. The role includes tracking and reporting on key activities, supporting program and leadership needs through effective communication and documentation, and driving process standardization and automation to enable nationwide growth. The Administrative Coordinator will collaborate with cross-functional teams to ensure consistent, high-quality delivery of services and support the implementation of best practices across the organization. This role requires exceptional organizational skills, discretion, and the ability to manage multiple tasks in a fast-paced environment.
Responsibilities
• Schedule and coordinate meetings and appointments.
• Track progress on key activities and project milestones; proactively identify and escalate risks or delays.
• Provide regular updates and status reports to leadership and stakeholders.
• Support recurring and ad-hoc meetings, briefings, and presentations by preparing materials, documenting outcomes, and following up on action items.
• Execute tasks in alignment with directives and program requirements, ensuring accuracy and professionalism.
• Partner with cross-functional teams to gather requirements, share insights, and support scalable solutions.
• Promote a culture of continuous improvement by soliciting feedback and incorporating lessons learned into process enhancements.
Requirements
• Bachelor's degree.
• Strong organizational skills with the ability to manage multiple priorities and deadlines.
• Experience supporting meetings, preparing presentations, and documenting outcomes.
• Ability to drive process standardization and automation initiatives.
• Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word); experience with workflow or automation tools is a plus.
• Excellent written and verbal communication skills.
• Strong attention to detail and commitment to high-quality work.
• Ability to work collaboratively in a team environment and adapt to changing priorities.
• Agile-certified.
• U.S. Citizenship; Ability to obtain Public Trust clearance.
Preferred Qualifications
• VA or similar government organization experience.
