This role is within Chamberlain Group's Administrative Support Services function. A successful incumbent is expected to (i) Prepare reports, correspondence, proposals, meeting materials and presentations; organize, review, edit and distribute communications and (ii) Manage multiple calendars, including scheduling appointments and providing itineraries.
Job Requirements:
- Prepare reports, correspondence, proposals, meeting materials and presentations; organize, review, edit and distribute communications
- Manage multiple calendars, including scheduling appointments and providing itineraries
- Manage meeting planning including: scheduling meetings and preparing agendas; anticipate and coordinate needs for meeting such as logistics, equipment, catering, etc.; on occasion, may need to take and distribute meeting minutes
- Maintain accuracy of organizational charts, mailing lists and contact lists
- Maintain a variety of files and reports; identify opportunities when automation would assist in the overall operations of the group or department
- Coordinate all aspects of travel (flights, transportation, hotels, directions, etc.), including international travel
- Coordinate interview processes with Human Resources and support new hire on-boarding by setting up office space, arrange for equipment, supplies, etc.
- Manage office space needs and requirements
- Receive and screen phone calls, visitors and mail
- Process invoicing and prepare purchase orders; compile and submit expense reports, budget and analyses, and review any reconciliation of invoices
- This position requires regular and predictable on-site attendance and the ability to work the particular shift and/or schedule to which you are assigned, as well as additional hours as needed.
- Comply with health and safety guidelines and rules; managers should also ensure compliance across their teams.
- Protect Chamberlain Group’s reputation by keeping information confidential.
- Maintain professional and technical knowledge by attending educational workshops, reading professional publications, establishing personal networks, and participating in professional societies.
- Contribute to the team effort by accomplishing related results and participating on projects as needed.
Job Requirements:
- High School Diploma or GED Equivalent
- 2-4 years of relevant work experience
Knowledge, Skills, and Abilities:
- Moderate to advanced acumen with Microsoft Office Suite; outstanding verbal and written communication skills, including grammar and proofreading; strong attention to details with an emphasis on organization and prioritization skills
Preferred Job Requirements:
- Bachelor's Degree
- Executive-level support
